The challenge

A mid-size manufacturer was processing 800 purchase orders and 1,400 invoices per month through manual data entry workflows spanning five systems: ERP, supplier portal, email, spreadsheets, and an approval workflow tool. Three full-time employees spent their entire day on data entry that added no value.

Our approach

We ran a process mining exercise to map the actual workflows (not the documented ones), identify every manual step, and score candidates by ROI and automation complexity. PO and invoice processing scored highest — high volume, consistent structure, and clear decision rules. We prioritized these two flows first.

The solution

UiPath bots handle PO creation, three-way matching, and invoice routing. API integrations replaced UI automation wherever the vendor had an API. The system includes exception handling with a human review queue for anomalies, automated status notifications to suppliers, and a real-time dashboard showing throughput and exception rates.

Results

9,000+ hours per year reclaimed across the three employees who previously did this work. Error rate in PO/invoice processing dropped 31%. Supplier payment cycle time fell from 18 days to 9 days. Payback period was 5.8 months from project start.
